Job Description:

Our client, XVA, is seeking a proactive and detail-oriented Virtual Assistant (VA) / Executive Assistant (EA) to work remotely, providing top-tier administrative and executive support. The ideal candidate will assist in managing day-to-day operations, scheduling, communications, and providing high-level administrative support to the leadership team. This role requires someone with strong organizational skills, excellent communication abilities, and the flexibility to adapt to the client’s needs.

Key Responsibilities:

  • Manage and organize daily calendars, meetings, and appointments for executives, ensuring smooth time management and coordination.

  • Provide administrative support, including handling emails, phone calls, and preparing documents or presentations as needed.

  • Schedule meetings, book travel arrangements, and manage itineraries for both personal and business trips.

  • Assist with project management tasks, ensuring timelines and deliverables are met.

  • Conduct research, gather information, and create reports or summaries for the executive team.

  • Handle confidential information with discretion and professionalism.

  • Support internal and external communications, acting as a liaison between executives and other team members or clients.

  • Manage and organize digital files and documents.

  • Provide additional virtual assistant duties as required, ensuring all administrative tasks are completed efficiently.

  • Keep executives updated on upcoming deadlines and priorities.

Qualifications:

  • Proven experience as a Virtual Assistant or Executive Assistant.

  • Must have own laptop, stable internet connection and quiet environment for video calls.

  • Excellent organizational and time management skills.

  • Strong English written and verbal communication skills.

  • Proficiency in Microsoft Office (Word, Excel, PowerPoint) and virtual tools (e.g., Zoom, Slack, Trello).

  • Ability to manage multiple tasks and work independently in a remote environment.

  • Discretion and confidentiality in handling sensitive information.

  • Attention to detail, problem-solving skills, and a proactive approach to managing tasks.

  • Bachelor's degree preferred, but relevant experience will be considered.

Preferred Qualifications:

  • Experience with project management software or tools (e.g., Asana, Monday.com).
